Tips for keeping your mailbox under the limits:

  • Make sure you have permanently deleted items from the Deleted Items folder.
  • Check the folder size to determine if a particular folder or two is using most of your space. [Windows users right click on Outlook Today icon in Outlook toolbar. Select Properties from the popup list. Click on Folder Size button. Mac users who are using the new Outlook 2001 program can CTRL-click on the title bar above the message display window and select Folder Size from the popup menu.]
  • Save attachments off to your computer or local server. [Windows users right click on attachment, chose Save As option from menu. Mac users can double-click on the item and chose Save As option.] Then delete the attachment from the email. I usually replace the attachment with a line that says . Then if I need to go find that attachment later I know the name of the file.
  • Using auto-archiving (Windows only) and/or personal folders to save old mail. There is information on auto-archiving for Windows users in the Introduction handout available online at http://www.ku.edu/acs/docs/wkshop/outlook-intro.pdf. How to set Outlook to access your personal Contacts before the Global address list:

  • Go to Tools menu and select Services
  • Click on Addressing tab
  • Use arrow to change order of items listed under "When sending mail..." to show Contacts first.
